1. Information we collect

Information you provide to us

The information we collect depends on how you interact with us. It may include:

  • name, job title, employer and other professional information;
  • business and personal contact details, including email address, postal address and telephone number;
  • communications, enquiries, feedback and contact preferences;
  • information needed to provide services, manage a commercial relationship, administer an event or respond to a request;
  • recruitment information you choose to provide; and
  • photographs, audio or video recordings created in connection with our events, content and business activities.

In limited circumstances, we may process special-category or sensitive personal information. For example, staff, applicants, speakers, healthcare professionals, meeting participants or event attendees may provide information about health, disability, accessibility, allergies or dietary requirements so that we can meet employment obligations, provide appropriate support, or plan and deliver a safe and inclusive meeting or event. Information collected automatically

When you use our website we and our service providers may automatically process technical and usage information. This may include business contact and professional information received from Adventures in Pharma Ltd where an individual has agreed to contact from Camino or another lawful basis applies. Adventures in Pharma Ltd and Camino are separate controllers for their respective uses of that information.

3. Legal bases for processing

United Kingdom and European Economic Area

Where UK or EEA data protection law applies, we rely on one or more of the following legal bases:

  • Consent: where you have actively agreed to a particular use, such as specified marketing communications. You may withdraw consent at any time.
  • Contract: where processing is necessary to perform a contract with you or take steps at your request before entering into one.
  • Legitimate interests: where processing is reasonably necessary for our or another party's legitimate business interests and those interests are not overridden by your rights. These interests include providing and improving services, maintaining business relationships, securing our systems, understanding engagement, and relevant business-to-business marketing.

Our processors are required by contract to protect personal information and act only on our instructions. Some recipients, such as regulators, professional advisers, event organisers, sponsors or independent business partners, may act as separate controllers for their own lawful purposes. Where Camino supports another organisation as its processor, that organisation's privacy notice applies to its processing.

We do not sell personal information. We do not share personal information for cross-context behavioural advertising or use it for profiling that produces legal or similarly significant effects.

5. International transfers

Some of our service providers or recipients may process personal information outside the United Kingdom or the country in which you are located. Where data protection law requires safeguards for an international transfer, we use an approved transfer mechanism such as adequacy regulations, the UK International Data Transfer Agreement or UK Addendum, European Commission standard contractual clauses, or another legally recognised safeguard. 6. Retention of personal information

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, including to meet legal, accounting, contractual and reporting requirements. Retention depends on the nature of the information, the relationship and the applicable legal requirements.

  • Business contact and marketing information is normally retained while the relationship remains active and for up to three years after the last meaningful interaction, unless a shorter period is appropriate or you object or withdraw consent earlier.
  • A limited suppression record may be retained for longer so that we can honour an opt-out or objection.
  • Contractual, financial and legal records may be kept for at least six years or for another period required by law.
  • Website logs and analytics information are kept in accordance with our security needs and provider configurations.
  • Special-category information collected for employment, recruitment, accessibility, dietary, meeting, event or support purposes is kept only for as long as it is needed for that purpose or to meet an applicable legal obligation.
  • Photographs and recordings may be retained while they remain relevant to our business, communications or historical record, subject to applicable rights and reasonable removal requests.

When information is no longer needed, we delete or anonymise it. Where immediate deletion from backup systems is not practicable, we protect the information and put it beyond routine use until deletion occurs through the normal backup cycle.

7. Information security

We use appropriate technical and organisational measures designed to protect personal information against unauthorised or unlawful processing and accidental loss, destruction, alteration or disclosure. These measures include access controls, managed devices and services, staff confidentiality and training, security monitoring, backups, supplier due diligence and documented information-security procedures.

8. Children's information

Our services and website are intended for professional and business audiences. We do not knowingly collect personal information from, or market to, anyone under 18 or the equivalent minimum age in the relevant jurisdiction. Marketing choices

You can unsubscribe from marketing emails using the link in the message or contact us using the details below. If you object or opt out, we will stop using your information for the relevant marketing and may retain limited information on a suppression list to prevent further contact. We may still send necessary service or administrative communications that are not marketing.

10. Do-Not-Track features

Some browsers and devices offer a Do-Not-Track (DNT) setting. There is currently no consistent industry or legal standard for recognising DNT signals, so we do not respond to them at this time. If a standard that applies to us is adopted, we will update this notice and our practices as required.
